Guide · UK sales agencies · updated September 2026
The estate agent CRM, and the AI now inside it
An estate agent CRM is the system of record for your agency: every vendor, applicant, property, viewing, offer and note, with the diary and portal feeds wired in.
This guide covers what a good estate agent CRM system should do, the AI that Reapit, Alto and Street have added since 2025, and how an AI receptionist such as Lettings Quest writes every call into it.
01 · The basics
What an estate agent CRM should do
Five jobs. If your CRM does all five well, most other tools become optional.
A CRM for estate agents is more specialised than a general sales CRM. It has to understand properties, chains and diaries, not just contacts.
The test of a good one is simple: can a negotiator who has never met a caller pick up the record and know exactly what happens next?
02 · AI CRM for estate agents
Your CRM vendor is already selling AI
Between mid-2025 and September 2026, the three best-known UK estate agency CRMs all launched AI products.
Reapit announced its RAI assistant in 2025, then a voice-first RAI Copilot, an AppMarket of AI agents and a no-code RAI Builder in April 2026.
Alto launched Alto Intelligence in April 2026, including Lead Flow for enquiries, and added six AI skills in September covering appraisals, matching, listings, progression, reporting and messaging.
Street launched Cortex, a platform for building AI agents inside Street, and markets an AI Call Handler that answers calls around the clock.
The wider picture, including the portals, is in our guide to AI for estate agents.
03 · Side by side
Reapit, Alto and Street AI compared
What each vendor has announced, in their own words. This is not a feature audit.
All three are building AI around the CRM record, which is exactly where it is most useful.
If you already run one of them, ask what is included in your plan before buying anything standalone, including from us.
04 · Estate agent integrations
How an AI receptionist writes into your CRM
Lettings Quest is not a CRM. It is designed to read from your CRM and diary, and write the result of every call back.
When a call comes in, the assistant looks up the property and the caller, holds the conversation and offers real diary slots.
When it ends, it writes a new or updated contact, a call summary and any booked appointment to the CRM, so nobody retypes a note.
Integrations are designed to work with the systems below. What is possible depends on your CRM account and its API, which we confirm on a demo.
05 · From call to record
What lands in the CRM after a call
On the left, what a caller actually said. On the right, the structured note the assistant writes back.
A CRM is only as useful as the notes in it. Busy negotiators write “called re valuation, ring back”.
An assistant writes the same fields every time: who, which property, what they want, their position and what was booked.
06 · The round trip
One enquiry through the estate agent CRM system
This is the loop an AI layer adds to a CRM: answer, qualify, book, record, and hand over to a person.
The negotiator starts the next morning with a booked diary and complete notes, not a list of voicemails.
Why the first step matters so much is covered in our guide to speed to lead.
07 · Before you add AI
Is your CRM data ready for AI?
Any AI working on your CRM, built in or bolted on, is only as good as the records it reads. Tick what is true today.
The biggest hidden cost of AI in an estate agency CRM is messy data: duplicate applicants, stale availability and diaries nobody updates.
Most of these fixes pay back whichever AI tool you choose.
Clean source tagging also shows which channels win instructions, the heart of estate agent lead generation.
08 · Choosing
Built-in CRM AI or a specialist add-on?
Three questions. The result suggests where to start and links to the next guide.
Built-in AI has the advantage of living inside the record. A specialist tool may go deeper on one job, such as voice.
Many agencies will use both: CRM AI for drafting and summaries, and a specialist assistant for live phone calls.
09 · Sales vs lettings
Estate agency CRM vs lettings CRM
Sales and lettings make different demands of a CRM, even when one system covers both.
Sales revolves around valuations, buyer qualification, chains and offers. Lettings lives on applicant volume, referencing, compliance dates and maintenance.

Large managed portfolios often add dedicated property management software as well.
10 · Buying well
Five questions for your CRM provider
Whether you are staying, switching or adding AI, these questions show how open your CRM really is.
Ask them in writing, and ask again at renewal.
